Smith Jenkins Ltd is committed to respecting your privacy and ensuring that any personal data shared with us is processed in accordance with the Data Protection Act 1998 and the Privacy and Electronic Communications Regulations 2003.  These laws will be strengthened in May 2018 to give you rights and control over any information Smith Jenkins Ltd hold about you.

 

How we collect personal information

We collect information directly from you when you make the decision to contact Smith Jenkins Ltd and instruct our services.  This data may include:

  • Name
  • Contact details including postal address, postcode, email and telephone numbers
  • Planning information regarding land and property
  • Records of your contact with us

We may also collect information from partners who you have given permission for us to collaborate with e.g. Architects, planning specialists.

 

Why we collect your personal information

We collect your personal information:

  • Upon first contact, for the purpose of providing advice and information on our Planning Consultancy services
  • Upon instruction, to provide Planning Consultancy services as set out by agreement in the instruction of services document
  • To invoice you in accordance with the agreed instruction of services document
  • To keep you informed of our services (please see Contact Permissions)

 

Contact permissions

We will respond to you during any pre-instruction phase as appropriate.

Upon instruction we may contact you by email, phone and post in order to provide you with the services agreed in the instruction of services document, until the end of the agreement.

Post instruction, we may contact you with information on our services and information on Smith Jenkins Ltd events.

Who we share your information with

We will only share personal information which is either consented to, or necessary to fulfil the agreed instruction of services document.

Smith Jenkins Ltd WILL NOT share personal information with any third parties without permission.

 

How long we keep your data and your rights and choices

Smith Jenkins Ltd will securely keep your data, upon completion of the agreed services for 7 years.

The Data Protection Act gives you the right:

  • To request in writing and securely obtain copies of the personal information Smith Jenkins Ltd holds about you
  • To correct or update your personal information held by Smith Jenkins Ltd
  • To request Smith Jenkins Ltd stop using your personal information for purposes outside of the instruction agreement or for any other purpose where there is no legal requirement for continued processing

 

Reporting concerns

Please contact the Data Protection Officer if you wish to raise a concern about Smith Jenkins’ handling of your personal information.

You also have the right to lodge a complaint with the Information Commissioner’s Office.

 

Smith Jenkins Ltd will review this policy regularly and may update it at any time.  If there are significant changes we will send you a notification.
